Configuration
Overview
Quotrum is designed to work great out of the box, but you can customize it to match your workflow and branding. This guide covers essential configuration options.
Accessing Settings
Open Settings from:
- The main menu: Quotrum → Settings (macOS) or File → Settings (Windows/Linux)
- The gear icon in the top-right corner
- Keyboard shortcut:
Ctrl+,(Windows/Linux) orCmd+,(macOS)
General Settings
Application Preferences
Theme
- Light, Dark, or System (follows OS preference)
- Default: System
Language
- Currently supports English
- Additional languages coming soon
Default View
- Dashboard or Quote Library
- What you see when launching Quotrum
Auto-save Interval
- 30 seconds to 5 minutes
- Default: 60 seconds
Notifications
Control when Quotrum notifies you:
- Quote saved successfully
- Catalog updates available
- Team member comments (Professional/Enterprise)
- Price changes affecting open quotes
Company Profile
Basic Information
Configure your company details used in proposals:
- Company Name - Appears on all exports
- Legal Name - Optional, for contracts
- Address - Physical address
- Phone - Main contact number
- Email - Default reply-to address
- Website - Your company website
Branding
Upload your visual identity:
Company Logo
- PNG or SVG format
- Max size: 2 MB
- Recommended: 400x100px
- Used in PDF proposals and email signatures
Color Scheme (Professional/Enterprise)
- Primary brand color
- Accent color
- Applied to PDF exports
Tax Settings
Configure tax calculation:
- Default tax rate (%)
- Tax display (inclusive or exclusive)
- Tax ID/registration number
User Preferences
Personal Information
- Display name
- Email address
- Phone number (optional)
- Time zone
- Date format
- Currency format
Quote Defaults
Set defaults for new quotes:
Pricing Defaults
- Default term length (12, 24, 36 months)
- Default discount % (if any)
- Show MRC, NRC, or both
- Include installation by default
Site Defaults
- Default country/region
- Default service level (standard, premium)
- Default backup type (none, 4G, etc.)
Export Defaults
- Default export format (PDF, Excel)
- Include technical details
- Include terms and conditions
- Page size (Letter, A4)
Catalog Configuration
Catalog Management
Access catalog settings to:
- View available service types
- Update pricing (Professional/Enterprise)
- Add custom services (Professional/Enterprise)
- Configure validation rules (Enterprise)

Price Update Notifications
Choose how you’re notified of catalog changes:
- Email notification
- In-app notification
- Weekly digest
- Require manual approval (Enterprise)
Team Settings (Professional/Enterprise)
Team Members
Manage your presales team:
Add Team Members
- Go to Settings → Team
- Click Invite Member
- Enter their email
- Assign role (Member or Admin)
- Click Send Invitation
Roles
- Admin - Full access, can manage team and settings
- Member - Create and manage quotes, limited settings access
- Viewer - Read-only access (Enterprise only)
Collaboration
Configure team collaboration features:
- Quote sharing and assignment
- Comment notifications
- Activity feed
- Quote approval workflow (Enterprise)
Integration Settings (Enterprise)
CRM Integration
Connect to your CRM:
- Salesforce - Sync opportunities and quotes
- HubSpot - Create deals from quotes
- Custom - API integration
Setup:
- Go to Settings → Integrations
- Select your CRM
- Authenticate with your CRM credentials
- Choose sync options (one-way or two-way)
API Access
Generate API keys for custom integrations:
- Go to Settings → API
- Click Create API Key
- Name the key
- Set permissions (read-only or read-write)
- Copy and secure the key (shown once)

Security Settings
Password and Authentication
Change Password
- Go to Settings → Security
- Enter current password
- Enter new password (minimum 8 characters)
- Confirm new password
Two-Factor Authentication (Professional/Enterprise) Add an extra layer of security:
- Enable 2FA in Security settings
- Scan QR code with authenticator app
- Enter verification code
- Save backup codes
Single Sign-On (Enterprise) Configure SSO/SAML:
- Contact support for SSO setup
- Provide IdP metadata
- Test SSO configuration
- Enable for all team members
Data and Privacy
Data Storage
- Cloud sync enabled/disabled
- Local-only mode (offline)
- Data retention period
Export Your Data Download all your quotes and configurations:
- Go to Settings → Data
- Click Export All Data
- Choose format (JSON or CSV)
- Download archive
Delete Account Permanently delete your account and data:
- Go to Settings → Security
- Scroll to Delete Account
- Confirm deletion
- All data removed within 30 days
Advanced Settings
Performance
Optimize for your hardware:
Cache Size
- Small (500 MB)
- Medium (1 GB) - Recommended
- Large (2 GB) - For large catalogs
Startup Behavior
- Open previous session
- Start fresh
- Open specific view
Backup and Restore
Automatic Backups
- Enabled by default
- Daily backup of quotes and settings
- Stored locally in
Documents/Quotrum/Backups
Manual Backup
- Go to Settings → Backup
- Click Create Backup
- Choose location
- Backup file includes all quotes and configuration
Restore from Backup
- Go to Settings → Backup
- Click Restore
- Select backup file
- Confirm restoration
Keyboard Shortcuts
Customize shortcuts for common actions:
- New quote
- Save quote
- Export quote
- Open settings
- Search quotes

Troubleshooting Configuration
Settings not saving
If settings don’t persist:
- Check file permissions in your user directory
- Disable antivirus temporarily to test
- Try resetting to defaults
- Contact support if issue persists
Can’t access Team settings
Team features require Professional or Enterprise:
- Check your subscription in Settings → Account
- Upgrade your plan to access team features
Integration not working
For integration issues:
- Verify credentials are correct
- Check API rate limits
- Review integration logs in Settings → Integrations → Logs
- Contact support with log details
